Workflow

Kanban workflow with realtime sync.

  • Customize stage names, colors, and order — your business, your pipeline.
  • Drag-and-drop realtime under one second. Every tab, every device.
  • Per-stage notification recipients — company-wide, or scoped to one appraiser on MAX.
  • Mine / All filter so each role sees only their work.
  • Tag any stage as Post-Inspection, Finals, or Revisions — that tag drives downstream automation.

Drag a card between stages — in the real app that move updates every open tab in the office in under a second.

Pending Leads & Follow-ups

Every lead — and the last time you touched it.

  • Capture a job before it's an order — an address or a phone number is enough. Pending leads live on the same board as your active work, not on a sticky note.
  • Log every touch in one tap — Called, Emailed, Texted, or a quick Note — and the latest one shows right on the card, so you always know who's owed a call back.
  • Record who sent you the work — the attorney, agent, or past client — so your referral sources are tracked, not remembered.
  • Drag a lead onto a stage to turn it into a live appraisal — the pipeline in your head becomes the pipeline on the board.
  • Out sick, or an assistant moves on? The follow-up history stays with the business instead of walking out the door.

Assignment Types

Not every job is a lender form.

  • Every job carries the report type it actually is — 1004 URAR, UAD 3.6, 1073 condo, 1025, 1004D, 1004C, 2055 exterior, 2075 desktop, 2000 field review, 1007 rent schedule, or General Purpose — and one filter narrows the whole list to just that type.
  • Feasibility studies and narrative reports are types in their own right, not leftovers in an “Other” bucket. The work that pays best shouldn't be the work your software can't name.
  • Pick Other and you describe it in your own words. Type “Narrative - 4 Paired Sales” and that's what shows on the appraisal, in your lists, and in your CSV export — not the word “Other.”
  • Long descriptions abbreviate on a word boundary in list badges, so a shortened label still reads like words (“Narrative - litigation…”) instead of a chopped-off syllable. The full text stays on the appraisal.
  • We still don't write the report — TOTAL, ACI, and ClickFORMS do that, and they should. But the office around the report ought to tell a feasibility study from a 1004, because your fee, your due date, and your invoice already do.

Calendar

Calendar and inspection scheduling.

  • Two-way Google Calendar sync, per user — events flow both directions and back to Google.
  • Drag to reschedule — push an inspection past the report's due date and choose to move the deadline with it.
  • Each appraiser connects their own Google account; map inspections and due dates to whichever calendars you choose.
  • Track each event Pending → Scheduled → Completed, and get flagged when a synced Google event isn't linked to an appraisal yet.
  • Mark an inspection complete and the matching appraisal advances to your Post-Inspection stage automatically.
  • Built to use from the truck: install Appraisal Ally on your phone straight from the browser, and every form opens as a sheet you can finish one-handed between inspections.

Clients & AMCs

Clients and AMCs in one place.

  • Lender and AMC clients already have their own ordering portal — Appraisal Ally stores that link, so you jump straight to it in one click instead of hunting the bookmarks bar.
  • Private-party clients (divorce, estate, tax, pre-listing) get a portal you host — they sign the engagement letter, receive the finished report, and pay their fee, all under your business's colors and logo. (See Client Portal below.)
  • Set default transaction and processing fees per AMC; new invoices you raise for that AMC inherit them automatically.
  • Every contact type in one place — lenders, AMCs, attorneys, agents, and private parties — each with its own order count and revenue.
  • Search, filter by type, and deactivate clients you've stopped working with — their past appraisals and revenue stay intact.

Invoicing & Payments

Invoices with the fee math built in. Stripe-native collection.

  • Your form software still makes the invoice your client signs — Appraisal Ally gives each job its own number and lets you attach that form invoice number (TOTAL, ACI, ClickFORMS…), so the two always line up. Pick which one shows as primary.
  • Split one invoice across multiple clients — equal shares or custom percentages — for divorce, estate, and shared engagements, with each party's balance tracked separately.
  • Fees default automatically from the client, then the AMC — with a one-click manual override when a job is different.
  • Real-time net calculation as you adjust transaction or processing fees.
  • Stripe Connect: your private and attorney clients pay by card straight into your Stripe account. Your payouts, your money — we never touch card data.
  • AMCs don't key a card into your portal — they pay net-30/45 through their own AP. Appraisal Ally tracks every AMC invoice as a receivable, so you always know what's outstanding and who's late.
  • Payment terms default by client type — private clients and lenders/AMCs each get their own (due before delivery, due on receipt, or net 15/30/45/60), with a per-client override when one is different.
  • Payment allocation across multiple invoices with visual status — Unallocated, Partial, Fully Allocated.

Additional Invoices · Pro & up

Bill for the work that isn't a standard report.

  • Court testimony, depositions, consultations, rush fees — raise a proper itemized invoice instead of hand-building one in Square or Stripe.
  • Each line is Hourly or Flat: charge 3.5 hrs × $250 for testimony, add a flat prep fee — every line does its own math and the total adds itself up.
  • Tie it to the appraisal (or appraisals) it's about — one divorce or estate case can span two or three reports, and the context rides along with the bill.
  • Send it in one click: a branded email from your own Gmail with a pay link, and it lands in the client's portal under Additional Charges to pay by card.
  • Counts toward your revenue like any other invoice — and drops into the payout statement for the contractor appraiser who earned it.

Client portal · Pro & up

Your clients self-serve. You stop chasing emails.

  • A portal you host for private-party clients — branded with your business's colors and logo, so it feels like your business, not a SaaS vendor.
  • Each client signs in to see only their own work: live status, completion dates, and appraised value on every job — no more “where's my report?” emails.
  • Download the finished report and pay by card in one view — with optional payment-before-delivery that unlocks the report only once they've paid.
  • Not every report should go out the same way. When you mark one complete you choose: send it through the portal, release the report now and bill later (for net-30 or check-by-mail work), or deliver it yourself and have nothing emailed at all.
  • Payment history and receipts stay on file, so repeat clients always have a record.
  • Want clients to review and e-sign the engagement letter in the portal too? That's a Max add-on — see Engagement Letters below.

Revisions & Finals

Revisions and finals, tracked back to the original file.

  • Log a revision on any appraisal and track it Received → In Process → Ready → Completed, with a deadline on every step.
  • Spin up a final from the original appraisal in one click — it stays linked to the original, so the whole file's history lives in one place.
  • Quick-complete a revision and upload the revised report right from the board — no status limbo.
  • Asked for a retrospective value on a property you've already appraised? Create a retrospective twin with its own effective (as-of) date — the original file stays intact and the two sit side by side, no duplicating an order to fake it.
  • Open revisions surface with their deadlines, so nothing slips after the report's gone out.

Team · Pro & up

Team accounts that match how your office actually works.

  • Works for every office shape — a solo appraiser with one assistant, one appraiser with several, a multi-appraiser business, or a contractor who bills the firm for their split.
  • Pair an assistant to specific appraisers and she sees only that work; leave her unpaired and she helps everyone. The limits are real — she can't reach another appraiser's files just by knowing the URL.
  • Adding your team is quick: type your assistant's email, she gets a link, sets a password, and she's live in about five minutes.
  • What can she see? Appraisals and the calendar, yes. Your bank details and payouts, never. Another appraiser's work only if you pair her to them.
  • @mention a teammate on any appraisal and they get a real-time in-app notification.
  • Unlimited team members on every plan — invite the whole office at one flat price.
  • On MAX, scope stage notifications per appraiser so a paired assistant is only pinged for their appraiser's files.

Roles & permissions · Pro & up

Give everyone the right keys — and only those.

  • Role-based permissions on Pro: tune what the built-in Appraiser and Assistant roles can see and do — and when you switch something off, it's actually off, not just hidden from the menu.
  • Assistants get a real working set out of the box — edit appraisals, manage revisions, schedule — without delete, completion, payments, or analytics until you say so.
  • Custom roles on MAX: spin up a named role like “Office Manager” that handles invoices and payments but can't edit or complete a single appraisal.
  • Per-user permission overrides on MAX for the one person who needs an exception — grant or revoke a single capability without rebuilding a role.
  • Visibility scoping, not just permissions: pair an assistant to specific appraisers and they see only that pod's jobs and fees — the other pod's revenue isn't hidden behind a toggle, it's never loaded onto their screen.
  • Owners and admins see the whole floor — every appraiser's pipeline, fees, and payouts — while “View appraisals” stays a non-removable floor, so no edit can ever lock someone out.

Bill the firm for your split — automatically.

  • If you're a contractor or split appraiser who bills the firm: a running ledger of every completed, unbilled job — pick what to bill, and a clean statement is generated for you.
  • Bill on collection or bill on completion — set the basis per appraiser or company-wide, so the statement matches your actual agreement.
  • Late-paid work carries forward automatically: jobs finished last month but paid this month surface at the top instead of slipping through the cracks.
  • Company-paid and processing fees are netted out, and fees the appraiser fronted are billed back in full — the math is shown line by line.
  • Approve, download the PDF, and email it to the company from your own Gmail. On MAX, schedule statements to generate and send on their own.

Engagement letters · Pro & up

Drafted in seconds. Signed without the printer.

  • AI-drafted letters tuned to the assignment type — divorce, estate, pre-listing, private cash.
  • The AI writes a first draft on a template you've reviewed — it never auto-sends. You read and approve every letter before it goes out under your name and license.
  • You stay the appraiser of record: the letter is your work product under USPAP, and you're responsible for its scope and content. The AI just gives you a faster first draft to edit and approve — it doesn't practice appraisal.
  • Multi-party support with separate PDFs per signer when the situation calls for it.
  • Send from your own Gmail account — the recipient sees you, not a system address.
  • E-signing in the client portal on MAX: each party reviews the letter and either draws a signature or uploads a hand-signed copy, with e-sign consent captured on the spot.
  • Not everyone signs by email. On MAX you can also hand the client your phone or iPad and have them sign in person, right there at the kitchen table — the signed copy is filed and emailed to them, with the same e-sign audit trail recording who witnessed it.
  • The signed PDF lands back with you and stays in the client's portal to re-download — no scanning, no email tag.
  • Automatic reminders on MAX nudge anyone who hasn't signed — you set the first nudge, the cadence, and a cap, business-wide.
  • An “Awaiting Signature” tab on your dashboard shows exactly who you're still waiting on, and how long it's been.

Growth Toolkit · Max

Turn every finished report into your next one.

  • The moment you deliver a report, Appraisal Ally asks the client for a review — automatically, or with one click — so your best work turns into five-star proof instead of a missed opportunity.
  • Requests go out under your own name with your Google review link, timed for the moment satisfaction is highest: right when the report lands.
  • Every request is logged — what went out, to whom, when, and whether it was automatic or one-click — so nothing slips.
  • This is the first tool in the Growth Toolkit. Review-outcome tracking, revenue projections, and business planning roll out through fall 2026, and Max members get each one the day it ships.
